The Roxboro BauVal Inc. Group and its affiliates (hereinafter referred to as “the company”) are subject to the Private Sector Protection of Personal Information Act. We take privacy very seriously and are committed to complying with the standards set out in this Act.
The company's president and CEO has delegated the role of Chief Privacy Officer (hereinafter “CPO”) to the vice president of human resources, in accordance with the law. A committee was created in January 2023 to support the CPO and monitor our privacy commitments. The committee will meet at least twice a year, or more often if necessary. This committee is composed of the Vice President or an employee of his or her choice from each of the following key areas: human resources, information technology, finance, and legal affairs.
We are committed to collecting only the personal information necessary to carry out our activities. We will inform our employees and collaborators of the purposes for which we collect this personal information and will ask for their consent, where necessary, to use or share it.
We will only disclose personal information to third parties after obtaining the consent of the person concerned.
We take all reasonable measures to protect personal information from loss,
utilisation abusive, accès non autorisé, divulgation, altération ou suppression.
Personal information must be stored in secure systems and files with controlled access. Access is limited to a small number of employees who absolutely need this information to perform their work. Personal information that is no longer needed will be disposed of according to a process reviewed annually by the committee.
The data controller is responsible for taking all necessary measures when a security incident involving personal information occurs. They must also keep a record of incidents, which includes:
– the date of the incident and the circumstances surrounding it;
– the date on which the company became aware of the incident;
– the identity of the person who conducted the investigation;
– the personal information concerned;
– the degree of sensitivity of the information concerned;
– the number or estimated number of people affected;
– measures taken to reduce damage;
– the date on which the notice was sent to the Commission d’accès à l’information du Québec and to the persons concerned; and
– the reasons why the company did not disclose the incident, if applicable.
The PO will produce a report for the company's board of directors on the committee's activities.
All employees and partners have the right to request access to the personal information we hold and to have it corrected if they believe it is inaccurate. You may also file a complaint if you believe your personal information is not being handled or stored properly. The privacy officer is responsible for handling all complaints with care.
